Transcribed Podcast ("we", "us", "our") operates the website transcribedpod.com and associated social media channels. For any privacy-related questions, contact us at thetranscribedpod@gmail.com.
2. Information We Collect
Email address: When you subscribe to our newsletter or download a resource (e.g., the Biotech Starter Pack), we collect your email address. We only collect your email after you have given explicit consent via the checkbox on our sign-up form.
Information you provide: When you contact us via email, we collect your name, email address, and any information you include in your message.
Chatbot messages: When you use our AI chatbot, the messages you send and the in-session conversation history are processed in order to generate a reply. We do not persistently store chatbot conversations on our own servers; see Section 5 for the AI provider used.
Server logs: Our hosting provider (Cloudflare) automatically processes standard request data such as your IP address, browser user agent, and request timestamps for the purpose of delivering the site, defending against abuse, and ensuring availability. We do not operate any analytics, advertising, or behavioural tracking on this site.
3. How We Use Your Information
- To deliver requested resources (e.g., free PDF guides) to your email
- To send you our newsletter with biotech insights, episode updates, and career content
- To respond to your inquiries and messages
- To generate responses when you use the AI chatbot
- To operate and secure the website (server logs)
4. Legal Basis for Processing (GDPR)
We process your personal data based on the following legal grounds:
- Consent (Art. 6(1)(a) GDPR): When you check the consent box and submit your email, or when you submit a message to the chatbot, you give us explicit consent to process that data for the stated purpose. You can withdraw consent at any time by clicking "Unsubscribe" in any email or contacting us directly.
- Legitimate interest (Art. 6(1)(f) GDPR): For operating and securing the website (server logs, abuse protection).
5. Data Processors
We use the following third-party services to process your data:
- Beehiiv Inc. (USA) — email newsletter platform. Your email address is stored and processed by Beehiiv to deliver our newsletter. Beehiiv Privacy Policy
- Cloudflare Inc. (USA) — website hosting, request proxying, and the Workers runtime that powers our email submission and chatbot endpoints. Cloudflare Privacy Policy
- Google LLC — Gemini API (USA) — powers the AI chatbot on this site. When you use the chatbot, your messages and the in-session conversation history are sent to the Gemini API to generate a response. Google Privacy Policy · Gemini API Terms
- unpkg (Cloudflare-fronted CDN, USA) — serves the three.js JavaScript library used for the homepage background animation. Your browser's IP address is transmitted when the file is fetched.
Your data may be transferred to and processed in the United States, where these services are based. These transfers are protected by Standard Contractual Clauses (SCCs) as required under GDPR.
6. Cookies and Local Storage
Our website does not set any cookies of its own and does not use any web analytics or advertising tracking. The embedded YouTube player uses youtube-nocookie.com in its "privacy-enhanced" mode and only sets cookies if you actually press play on a video. If you do, YouTube's own privacy policy applies.
7. Third-Party Links and Embeds
Our website contains links to and embeds from third-party platforms including YouTube, Spotify, Apple Podcasts, LinkedIn, Instagram, and TikTok. Our merchandise is fulfilled by sprd.net AG (Spreadshop): when you click "Buy Now" on our shop page you leave our site, and Spreadshop's own privacy policy applies from that point onward. These services have their own privacy policies, and we encourage you to review them. We are not responsible for the privacy practices of third-party services.
8. Data Sharing
We do not sell, trade, or rent your personal information. We only share data with the processors listed in Section 5, and only as necessary to operate the newsletter, the chatbot, and the website.
9. Data Retention
We retain your email address for as long as you remain subscribed to our newsletter. When you unsubscribe, your email is removed from our active mailing list. You may also request complete deletion at any time. Contact-related data is retained until your inquiry is resolved and for a reasonable period afterwards.
10. Your Rights (GDPR)
If you are in the European Economic Area (EEA), you have the following rights:
- Access: Request a copy of the personal data we hold about you
